Job Title: Operations Support Coordinator

Contract Type: Permanent

Location: Edinburgh or Glasgow or Alderley Park 

Working Style: Hybrid 50% home/office based

 

 

We have a new opportunity for an Operations Support Coordinator to join our Group Data Office Team (GDO). The Operations Support role provides administrative and coordination support to the Group Data Office ensuring the smooth operation of day-to-day activities in the function, this includes administrative support to the Heads of the Function, which covers preparation of key status reports, update and maintenance of the department’s documentation libraries in line with internal policies, requisitioning (Purchase Order) activities, receipting of goods, and support for key GDO meetings and events. The role focuses on ensuring efficient GDO operations, assisting with administrative tasks and facilitating communication among departments.

 

More about the role:

  • Management of key systems including GDO Sharepoint sites, Oracle Fusion, and others as delegate or with proxy access.
  • Preparing meeting agendas and following up on action items.
  • Assist in the preparation of documents, planning materials, and management reports.
  • Coordinate with other departments across the function and broader group where required.
  • Provide range of administration support for the GDO Senior leadership team, building a good working knowledge of the Royal London people process and practices.
  • Manage Purchase Orders and Requisitioning as well as goods receipting.
  • Manage supplier and resource accruals and approvals.
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Assist in identifying and analysing current operational processes for improvement.
  • Help implement best practices and solutions to enhance efficiency and productivity.
  • Monitor and report on performance metrics and KPIs.
  • Liaise with attendees, book venues, arrange catering, and manage technical requirements.
  • Lead or assist with the coordination and planning for meetings and events including monitoring and maintenance throughout the year
  • Help monitor progress against strategic objectives and provide updates to the Heads of Function.
  • Help with research and data collection to support strategic planning and change initiatives.
  • Ensure clear and effective communication, relaying messages and information accurately.
  • Draft and review communications on behalf of the CDO and Heads of Function.
  • Act as a liaison to wider functions.
  • Assist in organising and minuting meetings and committees.
  • Support the coordination of resource hiring/onboarding as required.

 

 

About you:

  • Proven administrative or office support experience in a corporate environment, preferably within Financial Services.
  • Strong communication skills in verbal, written, numerical and presentation format.
  • Expertise in MS Office, particularly PowerPoint, Excel, Word and Teams and Copilot.
  • Ability to adapt to changing priorities and handle multiple tasks simultaneously.
  • Previous experience supporting budget management and tracking, PO requisitioning, including experience of using procurement systems to support cost management.
  • Relevant certifications in business management are desirable
  • Strong communication skills, able to liaise effectively at all levels (both internally and externally)
  • Good organisational and planning skills with the ability to prioritise effectively
  • Good analytical approach to problem solving and decision making
  • Ability to work either individually or as part of a team
  • A willingness to own / tackle problems as they arise, able to identify issues for upward referral.
  • Outstanding attention to detail
